This is an interim policy. It covers this website and early-access contact with us. It also already describes how the Robofono service will handle data. We publish the full policy before the service launches.

This website
This website sets no cookies and uses no analytics or tracking. It loads no third-party scripts, fonts or images.
Like every web server, ours records basic request data: the IP address, the time, the page requested and the browser type. We use these logs only to keep the site running and secure. They are kept for a short time, at most 30 days, and are not used to build profiles.
Early-access emails
If you email us for early access, we keep your name, email address and what you tell us about your business. We use this only to reply and to invite you when the service opens. We do not add you to a marketing list without asking. Ask us to delete it at any time and we will.
The service: our roles
Robofono is an AI phone agent for businesses. It answers inbound calls on behalf of a business customer.
Call data: we are a processor
When Robofono answers a call for a business, that business decides how the call is handled. For this call data, the business is the controller and we are its processor. We process it only on the business's instructions and under a data processing agreement. Call data includes:
- the call audio, while the call is in progress
- call recordings, when the business has turned recording on
- transcripts and call summaries
- the caller's phone number and the time and length of the call
- details the caller gives, such as a name, a reason for calling or a message
- appointments booked, changed or cancelled during the call
If you called a business that uses Robofono and want to exercise your privacy rights, contact that business first. We help them answer you. You can also write to us and we will pass your request on.
Account data: we are the controller
For the accounts of our business customers, we are the controller. Account data includes the name, email address and role of each user, business details, settings, and billing details. We use it to provide the service, secure accounts, bill, and support customers.
Sign-in with Google, Microsoft or Facebook
Business users can sign in with Google, Microsoft or Facebook. We ask only for basic sign-in permissions and receive the name, email address and profile picture, plus the account identifier the provider gives our app. We use this only to create and secure the account. We do not post anything on your behalf.
Robofono's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
AI and recording disclosure on calls
Callers are always told at the start of the call that they are speaking with an AI assistant. When the business has turned recording on, callers are also told the call is recorded. Business customers cannot remove these disclosures.
We do not use call data to train generalized AI models.
Why we process data, and on what basis
- To provide the service to business customers: performance of our contract.
- To keep the website and the service secure: our legitimate interest.
- To reply to early-access requests: your request, and our legitimate interest in answering it.
- To meet tax and accounting rules: our legal obligation.
How long we keep data
- Web server logs: at most 30 days.
- Early-access emails: until the service opens, or until you ask us to delete them.
- Call data: as long as the business customer sets in its account, and deleted within 30 days after the account closes.
- Account data: while the account is open, and deleted within 30 days after it closes.
- Invoices and payment records: 7 years, as Dutch tax law requires.
Who else processes data
We use carefully selected subprocessors in these categories:
- cloud hosting
- voice AI (speech recognition and speech generation)
- telephony (phone numbers and call connection)
- AI language models
- payments
- email delivery
Each one is bound by a data processing agreement. We publish the names before launch and share them now on request at privacy@robofono.com. We never sell personal data and never use it for advertising.
International transfers
We are based in the European Union. Some voice processing takes place in the United States. Where data leaves the European Economic Area, we protect it with the European Commission's Standard Contractual Clauses and additional safeguards where needed.
Your rights
Under the GDPR you have the right to access your data, correct it, have it deleted, restrict or object to its processing, and receive it in a portable format. Where we rely on consent, you can withdraw it at any time.
If you live in California or another US state with a privacy law, such as the CCPA as amended by the CPRA, you have the right to know what we collect, to access and delete it, to correct it, and to opt out of its sale or sharing. We do not sell or share personal information as those laws define it. We will not treat you differently for using these rights.
To use any of these rights, email privacy@robofono.com. We answer within 1 month. We may ask you to confirm your identity first. It is free.
You can also complain to the Dutch data protection authority, the Autoriteit Persoonsgegevens (autoriteitpersoonsgegevens.nl), or to the authority where you live. We would like the chance to fix it first.
How we protect data
Data is encrypted in transit and at rest. Access inside our team is limited to the people who need it, and is logged.
Children
Robofono is a service for businesses. It is not meant for children under 16, and we do not knowingly collect their data through this website or for accounts.
Changes to this policy
We replace this interim policy with the full policy before the service launches. When we make material changes, we update the effective date at the top. Customers with an account are told by email before changes take effect.
